Booking Policy
This Booking Policy explains how course reservations, deposits, payments, accommodation, travel arrangements, cancellations, transfers and participant requirements are managed for training delivered by BZ Academy in Poland.

This policy applies to bookings for public courses, private training, instructor courses and other training services delivered by BZ Academy unless different conditions have been confirmed in writing.
Specific courses may have additional prerequisites, qualification standards, documentation requirements, accommodation options or payment arrangements. These will be shown on the relevant course page, registration form, quotation or joining instructions.
2. Making a Booking
A participant normally books a public course through the BZ Academy online registration system. Private, corporate or customised training may instead be booked through a written quotation or direct confirmation from BZ Academy.
A submitted registration form alone does not guarantee participation where payment, eligibility checks, documents or another booking requirement remain outstanding.
BZ Academy may request additional information before finally accepting a participant onto a course.
3. Deposits
Most BZ Academy courses require a deposit at the time of booking. The amount applicable to a particular course is displayed during registration or stated in the quotation.
Deposits are used to reserve training capacity and may also be used to secure instructors, range availability, accommodation, transport and other services required for delivery of the course.
Unless expressly stated otherwise, the booking deposit is non-refundable if the participant cancels, withdraws or fails to attend.
This does not affect any mandatory statutory rights which cannot legally be excluded.
4. Remaining Balance and Payments
Any remaining course balance must be paid in accordance with the payment instructions supplied by BZ Academy. Unless a different payment deadline has been agreed, the full balance must be paid no later than the start of training.
Bank transfers must arrive as cleared funds before the course begins. Participants using an international bank transfer should allow sufficient time for processing and currency conversion.
Depending on the booking, BZ Academy may accept:
- bank transfer;
- cash payment;
- online card payment;
- other payment methods specifically offered during checkout.
Any payment-processing charge will be disclosed before payment and will only be applied where legally permitted.
A participant who has not paid the required balance may be refused participation until payment has been completed.
5. Participant Eligibility and Required Documents
Firearms training requires appropriate identity, suitability and safety checks. Participants must provide complete and accurate information during registration.
Depending on the course, BZ Academy may require:
- a valid passport or national identity document;
- evidence of a clean criminal record or another form of criminal-record verification accepted by BZ Academy;
- a medical or health self-declaration;
- emergency contact details;
- evidence of prior training where a course has prerequisites;
- any additional documents necessary to comply with Polish law, range rules or BZ Academy safety procedures.
Documents should be supplied through the BZ Academy registration system or Client Portal where available.
6. Criminal Record and Legal Eligibility
Participants must be legally eligible to take part in the training and must provide truthful information concerning their criminal history and any legal restrictions affecting possession, handling or use of firearms.
BZ Academy reserves the right to reject or cancel a participant's booking where information supplied is false, incomplete or indicates that participation would be unlawful, inappropriate or contrary to BZ Academy safety requirements.
Where a participant is refused participation because they failed to disclose relevant information or failed to meet an eligibility requirement clearly stated before the course, BZ Academy is not responsible for the participant's travel, accommodation or other consequential costs.
7. Age Requirements
Public BZ Academy firearms courses are normally open only to participants aged 18 or over.
Any participation by a person under 18 must be specifically approved by BZ Academy in writing in advance and may require parental or legal guardian consent, additional documentation and specific range approval.
8. Course Prerequisites
Some courses are open to beginners, while others require previous training or successful completion of an earlier BZ Academy course.
The participant is responsible for checking the prerequisites stated on the relevant course page before booking.
Where BZ Academy reasonably determines that a participant does not have the required experience, knowledge or safety standard, the participant may be moved to a more appropriate training level or removed from an activity for safety reasons.
9. Changes Requested by the Participant
Requests to change a course date should be made as early as possible by contacting BZ Academy.
Date changes are not automatic and are subject to:
- availability on another course;
- range and instructor availability;
- available accommodation;
- third-party costs already incurred;
- the amount of notice provided;
- the type of course or booking.
BZ Academy will make reasonable efforts to assist with genuine requests to move a booking, but cannot guarantee that another date will be available.
Any non-recoverable hotel, transport, instructor, ammunition or other third-party costs resulting from a participant-requested change may be charged to the participant.
10. Cancellation by the Participant
Cancellation must be communicated to BZ Academy as soon as possible.
Unless expressly agreed otherwise:
- deposits are non-refundable where the participant cancels;
- amounts already committed to non-refundable third-party services may also be non-refundable;
- any refund of additional amounts paid will depend on the timing of the cancellation and costs already incurred in preparing the booking.
Where possible, BZ Academy may offer transfer of the booking to another suitable date instead of a refund. Any such transfer is subject to availability and is at BZ Academy's discretion.
11. No-Show and Late Arrival
A participant who does not attend the booked course and does not provide reasonable advance notice will be treated as a no-show.
Payments are normally non-refundable in the event of a no-show.
Participants must arrive at the location and time stated in their joining instructions. Late arrival may prevent participation in safety briefings or essential course content.
If a participant arrives too late to participate safely, BZ Academy may refuse participation in part or all of that day's training.
12. Cancellation or Rescheduling by BZ Academy
BZ Academy reserves the right to postpone, reschedule or cancel a course where necessary for operational, safety or legal reasons.
This may include, for example:
- insufficient participant numbers;
- instructor illness or unavailability;
- shooting-range closure or safety issues;
- severe weather affecting safe training;
- ammunition or essential equipment availability;
- legal or regulatory restrictions;
- circumstances outside BZ Academy's reasonable control.
If BZ Academy cancels a course and does not provide a suitable replacement date accepted by the participant, course payments received for the cancelled training will be refunded.
Travel recommendation: participants should avoid purchasing non-refundable flights or other external travel arrangements until they are satisfied that their course booking has been confirmed.
Unless required by applicable law, BZ Academy is not responsible for separately booked flights, car hire, external hotels or other travel expenses arising from a course change or cancellation.
13. All-Inclusive Course Packages
Many public BZ Academy courses are sold as all-inclusive packages.
Where shown as included on the course page, the package may include:
- training and range access;
- use of BZ Academy firearms;
- the stated ammunition allocation;
- targets and training equipment;
- eye and hearing protection;
- accommodation;
- meals during the agreed package period;
- hotel-to-range transportation;
- agreed airport collection and/or drop-off;
- course certification where applicable.
Exact inclusions depend on the individual course and are defined by the relevant course description or written quotation.
14. Self-Arranged Accommodation and Transport
Where the registration form provides the option to arrange accommodation independently, the participant may receive the applicable self-arranged package price or discount shown at the time of booking.
Unless BZ Academy confirms otherwise in writing, a participant selecting the self-arranged option is responsible for:
- booking and paying for their own hotel;
- breakfast and evening meals;
- transportation between their accommodation and the BZ Academy training facility;
- transportation from and to the airport, railway station or other arrival point.
Lunch at the shooting range remains included where it forms part of the relevant course package.
The participant may choose accommodation at any suitable location, but remains responsible for arriving at the training facility at the required time each day.
15. Accommodation
Where accommodation is included, BZ Academy arranges rooms with its selected hotel or another suitable accommodation provider in the local area.
The standard room arrangement is the room type included in the package displayed when booking. Single-room upgrades or additional nights may be available for an additional charge.
Accommodation is supplied by a third-party hotel or accommodation provider and remains subject to that provider's availability and house rules.
Where the normal accommodation provider becomes unavailable, BZ Academy may substitute another accommodation provider of an appropriate standard in the surrounding area.
16. Travel and Airport Transfers
Participants are responsible for booking their own flights or other transport to Poland unless a written agreement specifically states otherwise.
Where airport transfer is included, the relevant arrival airport, collection time or collection window will be communicated by BZ Academy.
Participants must provide accurate travel details in sufficient time before the course.
Where a participant chooses a flight arriving substantially outside the organised collection window, BZ Academy cannot guarantee an individual transfer and the participant may need to arrange alternative transportation.
The same principle applies where a flight is significantly delayed or diverted.
17. Firearms, Ammunition and Training Equipment
Unless otherwise stated, BZ Academy provides the firearms, ammunition allocation and safety equipment required for the booked course.
Specific firearm models may be substituted where necessary due to maintenance, availability, legal requirements or operational considerations.
Additional ammunition may be available by prior arrangement and may be subject to an additional charge.
Participants wishing to use their own firearm must obtain BZ Academy's approval in advance and are solely responsible for ensuring that all legal documentation, transport permissions and applicable firearms permits are valid.
18. Safety and Participant Conduct
Safety is the overriding priority during all BZ Academy activities.
Participants must:
- follow all instructor and Range Safety Officer commands immediately;
- follow firearm safety rules at all times;
- use required protective equipment;
- behave responsibly toward instructors, staff and other participants;
- disclose any condition or circumstance that could materially affect safe participation.
BZ Academy may immediately suspend or terminate a participant's training where their behaviour creates a safety risk, violates range rules, is abusive or threatening, or repeatedly disregards instructor commands.
Where participation is terminated because of serious misconduct or a safety violation, the participant will not normally be entitled to a refund.
19. Alcohol, Drugs and Fitness to Train
Participants must not take part in firearms training while under the influence of alcohol, illegal drugs or any substance that makes safe participation inappropriate.
Participants using prescribed medication that may materially affect concentration, reaction time or safe firearm handling should inform BZ Academy before training.
BZ Academy may prevent a participant from training where there are reasonable safety concerns regarding their fitness to participate.
20. Course Completion and Certification
Attendance alone does not guarantee successful completion of a course where the programme includes a test, qualification standard, safety assessment or instructor evaluation.
Certificates requiring successful completion will only be issued where the participant meets the applicable course standard.
Where appropriate, a participant who attends but does not meet the required performance standard may receive confirmation of attendance instead of the full qualification certificate.
21. Third-Party Services
Some parts of a course package are provided by independent third parties, including hotels, restaurants, transport providers and other service providers.
BZ Academy will make reasonable efforts to coordinate these services but cannot guarantee matters outside its reasonable control, including airline disruption, third-party transport delays or hotel operational issues.
22. Travel Insurance and Personal Property
Participants are strongly advised to obtain suitable travel insurance covering, where appropriate, medical treatment, trip interruption, travel delays and cancellation.
Participants remain responsible for passports, documents, money, mobile phones, luggage and other personal property brought to the course.
23. Prices and Currency
The applicable course price is the price confirmed at the time the booking is made, subject to correction of obvious errors.
BZ Academy may display prices in more than one currency. Currency-conversion differences, foreign transaction fees or fees charged independently by the participant's bank or payment provider are the participant's responsibility.
Optional services including additional accommodation, single-room upgrades, extra ammunition, additional training or private transfers may be charged separately.
24. Refunds
Where BZ Academy confirms that a refund is due, the refund will normally be made using an appropriate payment method after the refund amount has been confirmed.
BZ Academy is not responsible for differences caused by currency exchange rates or fees applied independently by banks, card issuers or payment providers.
25. Private, Group and Corporate Bookings
Private, group, government, military, security-company and corporate bookings may be subject to a separate quotation, deposit structure, cancellation schedule or payment deadline.
Where a written quotation or contract contains booking terms that differ from this general Booking Policy, the specific written terms agreed for that booking will take priority.
26. Events Outside Reasonable Control
BZ Academy will not be responsible for failure or delay in performing obligations where this results from an event outside its reasonable control.
Such circumstances may include severe weather, natural disasters, government restrictions, legal changes, transport disruption, strikes, civil disturbance, public emergencies, closure of the shooting facility or other events that could not reasonably have been prevented.
Where such circumstances affect a course, BZ Academy will make reasonable efforts to provide an alternative date or other appropriate solution.
27. Personal Data and Documents
Personal information and documents collected as part of the booking and eligibility process are handled in accordance with the BZ Academy Privacy Policy.
This includes information required to administer the booking, verify identity and eligibility, manage course logistics, process payments and meet legal or safety requirements.
28. Terms and Conditions
This Booking Policy should be read together with the BZ Academy Terms and Conditions .
If any provision of this Booking Policy conflicts with a mandatory legal right that cannot be excluded, the mandatory legal requirement will apply.
29. Changes to this Booking Policy
BZ Academy may update this Booking Policy from time to time to reflect changes to its booking procedures, course packages, payment systems, legal requirements or operational arrangements.
The version applicable to a booking will normally be the version in force when the booking is made, unless a later change is required by law or has been separately agreed with the participant.
